Opportunity
Manager, Business Systems & Data Analytics
The Manager, Business Systems & Data Analytics is responsible for the oversight, optimization, and strategic use of operational and veterinary systems across the Ontario SPCA and Humane Society.
This role ensures the integrity, accuracy, and consistency of organizational data, leads centralized reporting and analytics, and serves as the subject matter expert for shelter and clinic systems.
The role is also accountable for leveraging data and emerging technologies, including AI, to improve operational efficiency, enhance decision-making, and support program outcomes.
This position plays a critical leadership role in system transitions, including the implementation of a unified veterinary software system and future shelter system standardization.
Key Responsibilities
1. Business Systems Management
- Serve as the subject matter expert for all operational and veterinary systems (e.g.,PetPoint,ShelterBuddy,eVet)
- Oversee system configuration, upgrades, integrations, and vendor relationships
- Identify and implement system enhancements to improve workflows and efficiency
- Troubleshoot system issues and support end users across centres and clinics
2. Data Integrity & Governance
- Develop and maintain data standards, definitions, and governance practices
- Conduct regular audits to ensure data accuracy, completeness, and consistency
- Identify systemic data issues and implement corrective actions
- Maintain documentation including data maps, SOPs, and user manuals
3. Reporting & Analytics
- Lead the development and delivery of centralized weekly, monthly, and executive reports
- Establish and maintain key performance indicators (KPIs) across operations and programs
- Analyze data to identify trends, risks, and opportunities
- Translate data insights into actionable recommendations for leadership
4. Monitoring & Evaluation (M&E)
- Design frameworks to measure program effectiveness and operational performance
- Conduct pre- and post-analysis of new initiatives and process changes
- Support evidence-based decision-making across departments
- Respond to ad hoc data and reporting requests
5. AI & Operational Optimization

Identify opportunities to leverage AI and automation to enhance:

Data quality monitoring and anomaly detection

Reporting automation and predictive analytics

Operational decision-making (e.g., intake trends, length of stay, resource allocation)

Pilot and implement AI-enabled tools to improve efficiency and insights

Partner with IT and leadership to ensure responsible, secure, and practical AI adoption

Continuously evaluate emerging technologies to support organizational goals
6. Training & Change Management
- Develop and maintain system training materials and user guides
- Support onboarding and ongoing staff training
- Promote consistent system use and adherence to data standards
- Act as a key resource for system-related inquiries and support
7. Strategic System Implementation

Lead operational and data components of major system transitions, including:

Veterinary software implementation (2026–2027)

Shelter system standardization (planned)

Oversee data migration, validation, and workflow design

Coordinate testing, training, and rollout activities

Mitigate risks and ensure successful adoption across the organization
Qualifications
Education & Experience
- Post-secondary education in Business, Data Analytics, Information Systems, or related field
- 5–7 years of experience in business systems, data analytics, or operations support
- Experience managing databases and reporting systems
- Experience leading system implementations or major projects considered an asset
- Experience in animal welfare, veterinary services, or multi-site operations is an asset
Skills & Competencies
- Strong analytical and problem-solving skills
- Advanced data management and reporting capabilities
- Ability to translate complex data into clear insights
- Knowledge of data governance and quality assurance practices
- Experience with reporting tools (e.g., Excel, Power BI or similar)
- Understanding of AI tools and their practical application in operations
- Strong communication and stakeholder engagement skills
- High level of organization and attention to detail
Working Conditions
- Hybrid work environment with occasional travel to animal centres and clinics
- Ability to manage multiple priorities and deadlines
- Occasional after-hours support during system implementations
