Overview As we move through a period of exciting transformation and organizational change, Professional Engineers Ontario (PEO) has an immediate opening for a Program Analyst to join the Regulatory Compliance team.

Under the authority of the Professional Engineers Act, PEO licenses and governs over 91,500 licence and certificate holders and regulates the practice of professional engineering in Ontario. PEO’s mission is to regulate and advance the practice of engineering to protect the public interest. Position Summary Reporting to the Manager, Professional Development Initiatives, the Program Analyst will be responsible for monitoring and analyzing data for the Practice Evaluation and Knowledge (PEAK) program and reporting insights into PEAK data.

The PEAK program is PEO’s Continuing Professional Development (CPD) requirement for its 90,000 practitioners and is administered by staff of the PEAK Program Office within the Regulatory Compliance group.

The incumbent will assist the Manager in administering the program, including compiling and analyzing compliance data, assisting the Manager with respect to daily activities and ongoing projects of the department, and participating in strategizing and planning continuing phases of the PEAK program.

Responsibilities Monitor and analyze data associated with the program and produce reports that provide insights into program metrics, participant compliance, reminders and notices, and questions and feedback. Create and maintain databases and lists to support program decisions, operations, projects and compliance measures. Recommend and collect required data about program participants. Help design and develop strategies for continuing phases of the program together with identifying and rationalizing options and making recommendations for policies and procedures. Produce and maintain program-related documentation, including program requirements, use cases and process maps, meeting notes and action items, policies and procedures, and future work. Lead and facilitate discussions with stakeholders to ensure requirements are incorporated. Assist with creating and delivering presentations to stakeholders. Assist with program activities to engage and support participants, as required. Assist with the preparation of materials for internal and external reporting, as required. Monitor and communicate issues and actions to be addressed by the department. Assist team in meeting deliverables to achieve program milestones. Close and archive program files.

Provide administrative and clerical support to the team

Draft correspondence and other documents or reports. Coordinate schedules within the department and resolve meeting conflicts. Develop and maintain templated responses for general questions to ensure consistency in communications. Other duties as assigned.

Specialized Skills and Knowledge

Knowledge of/willing to learn: Proficient in Microsoft Office applications, like Word, SharePoint, Outlook, Excel, PowerPoint, Visio and Teams. Proficient in Customer Relationship Management applications, like Aptify or similar, and data visualization applications, like Microsoft Power BI or similar. Proficient in project delivery applications, like Asana, Azure, Jira, Project, Smartsheet or similar. CPD programs and compliance training, especially related to professionally designated/regulated industries. The Canadian regulatory landscape, including government and private sector firms. Demonstrated understanding of professional regulation and processes.

Skills include: High level of attention to detail, with demonstrated ability to multi-task in a fast-paced environment. Excellent written and verbal communication skills, including editing and proofreading. Excellent critical thinking, analytical and problem-solving skills. Demonstrated ability to work effectively under pressure while communicating with diverse members of the public and other parties in situations that may escalate/become emotionally charged. Strong interpersonal skills required to successfully facilitate resolution to complex situations. Ability to organize and set work priorities and work independently and as a team member. Ability to exercise good judgment in recognizing scope of authority and protecting confidential information. Proactive and resourceful in seeking solutions. Discretion, tact, and sound judgment in handling confidential information and when engaging with stakeholders. Positive outlook and proven ability to work effectively both independently and in a team environment.

Education/Qualifications: Experience in data analysis is required; experience with regulatory CPD programs is preferred. Experience and/or training (certification) in business analysis or project management is an asset. Post-secondary degree in education, engineering or business administration, or a related field. Minimum 5 years’ work experience. Experience or exposure to corporate analysis for programs and portfolios is preferred. Prior experience in regulatory environments is an asset. A driver’s licence and ability to occasionally travel to offsite meetings, seminars and presentations throughout Ontario. Anticipated Salary The expected annual salary for this position is $78,000 - $88,000.
