This is a hands-on role for someone who is organized, analytical, discreet, and comfortable working across teams. You will work closely with the CFO while supporting leaders across production, deployment, commercial, engineering, and product.
You will help make recurring business processes clearer, cleaner, and easier to run. That includes preparing reporting packages, coordinating finance and people operations workflows, organizing key documents, tracking deadlines, and improving the tools and templates that help the company move faster.
This role is hybrid out of our Dartmouth office. Candidates must be based in Canada and able to work regularly from the Dartmouth/Halifax area.
What you’ll do Coordinate recurring KPI, dashboard, and management reporting processes. Gather inputs from business systems and department owners, then prepare clear reporting packages for review. Maintain KPI dictionaries, reporting templates, trackers, and recurring process documentation. Support finance operations, including AP/AR administration, vendor and customer records, invoice/payment tracking, and supporting documentation. Help prepare finance and operational inputs for monthly reporting, grants, investor updates, and internal reviews. Coordinate onboarding, offboarding, hiring administration, interview scheduling, offer-letter preparation from approved templates, and benefits-related follow-up. Support routine insurance, legal administration, corporate records, NDA workflows, signature routing, and document organization. Track deadlines and gather inputs for non-dilutive funding programs, wage subsidies, intern programs, and related reporting. Improve internal workflows through better spreadsheets, templates, lightweight automations, and practical AI-enabled tools. Support office and general operations needs, including equipment coordination, supplies, and administrative follow-through.
What we’re looking for Strong spreadsheet skills and comfort working with financial, operational, or business reporting data. Excellent organization and follow-through across recurring processes, deadlines, and cross-functional inputs. High attention to detail, with the ability to spot missing information or obvious inconsistencies. Clear written communication and confidence following up with busy team members. Discretion and good judgment when handling sensitive financial, employee, legal, or investor-related information. Comfort switching between analytical work and practical administrative coordination. Curiosity about using AI, automation, and lightweight tools to make internal work easier. Ability to thrive in a small, fast-moving company where responsibilities can evolve.
Nice to have Experience in finance operations, accounting support, business operations, people operations, or startup administration. Familiarity with AP/AR workflows, reporting packages, grant documentation, hiring coordination, or corporate administration. Experience improving spreadsheet-based workflows, templates, trackers, or lightweight automations. Exposure to SaaS, hardware, aquaculture, AI, robotics, or another technical environment.
